The role of the Marketing Events Coordinator is to coordinate all aspects of both in-person and virtual firm client events. This position, under the direction of the Practice Development Director/Manager, is responsible for executing and delivering on internal and external marketing and business development initiatives for the firm. The Marketing Events Coordinator will be a self-starter, who is flexible, innovative, collaborative, detail oriented, forward-thinking and resourceful.  The ability to think strategically and take ownership of projects, to develop relationships within the firm, and to pay attention to detail are essential.  This candidate must have strong organization skills and be able to multi-task and prioritize.

Location preference for this role is New York. Boston and Washington, D.C. will also be considered.

Duties & Responsibilities

These include, but are not limited to:

  • Oversee the proper planning and execution of firm sponsorships—including conferences, seminars, and trade organization memberships —serving as the primary firm contact for sponsorship organizations and coordinating onsite and virtual logistics.
  • Coordinate firm-hosted business development events, including receptions, client entertainment outings, substantive presentations, webcasts, etc., working closely with participating professionals and Marketing Department colleagues on invitations, invitee list development, event materials, participant tracking, on-site management and targeted follow-up activities.
  • Confer with professionals throughout the firm to secure information relevant to conferences, speaking engagements, and other business development projects.
  • Conduct research on clients, prospects, industries, conferences, and membership organizations. Provide recommendations and summarize findings into clear, presentable formats.
  • Coordinate with other members of the marketing team and firm professionals on the creation and maintenance of contact lists in the firm’s client relationship management (CRM) database and leverage the database for business development purposes such as tracking attendance and reporting.
  • Formatting and managing the sending of electronic communications using the firm’s email campaign management system, Marketo.
  • Manage firmwide events budget, providing reporting on ROI and other metrics; assist with coordination of marketing budgets: assist with vetting big-ticket requests and analyzing marketing expenses and effectiveness thereof.


Requirements

Qualifications & Prior Experiences

  • Bachelor’s degree required.
  • 2-5 years of experience planning and executing events, using webinar and event technologies (WebEx, On24, or similar), email marketing tools (Marketo or similar), familiarity with using CRM systems (particularly Salesforce) and excellent project management skills.
  • Experience with reporting and analytics preferred.
  • The person in this role must be a self-starter and have a strong technical aptitude. Proficiency with MS Office and Office 365 are required.
  • The successful candidate will possess exceptional project management skills, attention to detail, and excellent verbal and written communication skills.
